Here we have compiled the most important questions (FAQ) about the application and award process.
General Questions About the Application
Application Period (May 15 to July 15): Your ranking on the waiting list is not affected by when your application is received during this period. Applications received after July 15 are not eligible for the student placement process.
Coordination phase (July 16 to August 24): We conduct the admission procedures and submit the results to Hochschulstart. Study places are allocated by the end of this period.
To apply, you must upload your transcript to the campus portal, along with proof of any additional qualifications you may have, such as vocational training or volunteer work.
The documents required for enrollment vary by program. The admission letter you receive from Hochschulstart lists all the necessary documents.
In general, late submissions are permitted, for example, for the medical certificate of fitness for work or the certificate of good conduct. However, it is important that you apply for online enrollment by the deadline and send your enrollment application to us. It is best to contact the responsible staff member directly for further clarification (see admission letter).
We and other participating universities conduct the admissions process and forward the results to the Foundation for University Admissions. You can view your applications and admission offers in your account on Hochschulstart.
Once you have accepted an admission offer, you are removed from the process. This allows other applicants to move up in the queue.
If you do not actively accept an admission offer, your highest-priority offer will automatically be converted into an admission. That is why it is important that you assign priorities to the applications you have submitted.
If you receive an admission offer from us but are still waiting for a higher-priority offer from another university, do not accept the spot with us. If you have changed your mind and definitely want to study at the University of Applied Sciences Jena, then accept the spot with us quickly. Once you accept, the process ends for you at this point.
The allocation of study places begins on July 16 and ends on August 24, meaning you may still receive an offer of admission up until that point.
Questions about university place allocation
The so-called admission cutoff (commonly referred to as NC/Numerus Clausus) is not set by the university, but is determined through the application process. It depends on the number of available spots and the number of applicants—as well as their grades or ranking points.
Please apply even if your grade or ranking points are lower than those of the previous year. We do not have a fixed NC; rather, we publish the previous year’s cutoff scores solely as a guide.
The cutoff score for the 2025/26 winter semester was:
- Occupational Therapy: 2.1 or 38 ranking points
- Nursing: no admission restrictions in the 2024/25 winter semester, so there is no admission cutoff for this application period
- Physical Therapy: 1.8 or 44 ranking points
- Emergency Medical Services/Emergency Care: 1.9 or 42 ranking points
- Social Work: 2.7 or 26 ranking points
All applicants are placed in ranking lists (quotas). Places are allocated according to fixed quotas (in accordance with the ThürStudienplatzVVO):
Pre-allocation quota – There are fixed quotas for which study places are deducted in advance from the total number of available study places:
2% hardship cases
3% second degree (you already have a degree from Germany)
8% international applicants who obtained their university entrance qualifications outside of Germany (including Studienkolleg graduates)
5% professionally qualified applicants
Your grade point average counts toward the advance quotas. Applicants for a second degree receive a special score that takes into account both your grade and the reason for pursuing a second degree.
Main quota:
20% based on your Higher education entrance qualification
80% based on a selection process
In our university selection process, you can earn points through additional criteria to improve your ranking. You can calculate your total score yourself by adding the points for your grade to the points for your additional qualifications.
We conduct the admission process based on the information you provide and submit the rankings to Hochschulstart. If you achieve a high ranking on the lists, you will receive an admission offer. If you have submitted multiple applications, you may receive multiple offers. You decide via Hochschulstart whether to accept an offer. The admission letter will specify the deadline for submitting the required documents.
In addition to a high school diploma, the following are accepted:
- Vocational training → 5–20 points for recognized training programs
- Work experience → 5–15 points (depending on the duration and scope of the work)
- Special qualifications → 5 points for relevant experience or documentation
If you have the qualifications listed, check the appropriate boxes in the application portal and upload the supporting documents. The Student Registrar's Office will then review your information.
In progress: You are still working on your application and have not yet submitted it.
Received: You have submitted your application. Your application is being reviewed by the Student Registrar's Office.
In progress: Your application is currently being processed by the Student Office.
Provisionally excluded: If your application is missing important information or required documents, or if they contain errors, your application will be set to “provisionally excluded.” If you do not submit the missing documents in time, your status will change to “excluded” and your application will not be included in the selection process.
Valid: Your application has been reviewed and is participating in the admission process.
Admission offer currently not possible: This status means that no offer is currently possible for the application in question. This should not yet be considered a final rejection and may still change as the process continues. The admission process runs until August 24. This status may still change until then.
Rejected: If you do not receive an admission offer by the end of the process, you will receive a rejection notice from Hochschulstart.
Admission offer available: The allocation process has been completed and you have received an admission offer. You decide whether to accept this offer or not.
Admitted: You can now apply for online enrollment.
Enrollment application received: You have completed the online enrollment process and must now send your documents to us.
Enrollment application being processed: Your enrollment application has been received by the Student Registrar's Office. Some documents are still missing.
Enrolled: You are enrolled at the University of Applied Sciences Jena.
If you are offered a spot in a program, you will receive an admission letter from Hochschulstart. This letter will outline the next steps you need to take to accept your spot. Please note the deadline specified in the letter and contact us in a timely manner if you are unable to meet it.
This status means that we are currently unable to offer a spot for this application. This should not be considered a final rejection and may change as the process continues. The admission process runs through August 24. This status may still change before then.
If you have submitted a valid application and it is marked as “withdrawn,” you have likely received an offer of admission for an application with higher priority. Applications with lower priority are then automatically withdrawn. The “withdrawn” status cannot be changed after that.
If you have not received an offer of admission, the lottery may be another way to secure a spot. If there are still spots available at the end of the admission process, we will hold a lottery among the applicants who have been rejected.
These applicants will be notified in early September if a lottery is held.
